The Private Club is a private investment community with a large online following and a hundred-plus paying members.
The Private Club already had the hard part: a large, loyal audience and a method people pay to learn. Everything behind it ran by hand. Paying members were tracked in a spreadsheet. Applications were read and answered one by one, with no real prep for the sales call that followed. Replies were written from scratch. The daily market brief that members rely on was slow and costly to produce, and so were the content and the live presentations. No one had a single, honest view of how the business was actually performing. A small team was doing the work of a much larger one, and growth meant more hours, not more leverage.


We rebuilt the whole operation as one connected system. It starts at the top of the funnel: a new AI-built website, tuned for search and local discovery. When someone applies, the system writes a summary and hands the sales team a ready-to-run brief, so they walk into every call prepared. As the conversation unfolds, a sales assistant suggests stronger, on-brand replies that move it toward a close.
Behind the scenes, paying members moved off a spreadsheet and into a full CRM, wired to the application form, a lead agent, and the sales flow, with a live financial view of money in, commissions paid, and tool spend. Agents write the daily and weekly reports the team runs on, produce the morning market brief in a single pass, and turn raw ideas into ready-to-record content and the bi-weekly presentation.
What used to take a small team most of the day now runs in the background. Every applicant arrives sales-ready, the brief lands each morning on its own, members and money sit in one clear view, and the founder spends her time on the method and the members instead of the admin. The same small team now runs a community several times the size they could ever handle by hand.
A community business lives on trust and consistency. By automating the operation and not the relationship, the team kept the personal touch members pay for, and won back the time to grow it. The method stays human. Everything around it runs itself.
